How to let volunteers leave personalized voicemails

Set up a Live Call project so volunteers can leave their own voicemail message when a voter doesn’t answer

When a voter doesn’t pick up, a personal voicemail from a real volunteer can make a strong impression. With Personalized voicemail handling, volunteers on a Live Call project can record their own message for each voter they reach by voicemail

⚠️ Personalized voicemail calls one voter at a time. Each volunteer stays on the line to leave a message, so the phone bank dials one voter at a time instead of several at once. Expect fewer calls per hour than with automated voicemail handling

Step 1/6: Click on Projects

In the left-hand menu, under Action, click Projects.

Step 2/6: Click New Project and name your project

Click + New Project in the top right, then enter a Project Name

Step 3/6: Select Live Call and choose your survey and voter list

Set Outreach Type to Live Call, then choose your Survey (the call script) and your Voter List. You can also add Geofences if you’d like.

Step 4/6: Set Voicemail Handling to Personalized

Under Voicemail Handling, select Personalized. Volunteers can then leave their own voicemail message when a voter doesn’t answer.

You can also set Phone Priority. For example, Prioritize Calling Cell Phones calls a voter’s cell phone first when they have both a cell and a landline.

Step 5/6: Assign volunteers and create the project

Under Project Assignment, do one of the following:

  • Select Users/Teams, then click the pencil icon under Assignees to choose who can call.

  • Select Public to open the project to anyone.

Choose a Status, then click Create Project.

Step 6/6: Confirm voicemail is set up

Open your project from the Projects list. In the project details, Voicemail should show Volunteer Voicemail. Click Send Test Call to try it before your volunteers start calling.

💬 Frequently Asked Questions

What’s the difference between Automated and Personalized voicemail?

With Personalized, volunteers leave their own message, and the phone bank dials one voter at a time. With Automated, voicemail is handled for the volunteer, so they can move straight on to the next call

Why are my volunteers making fewer calls?

Personalized voicemail dials one voter at a time so each volunteer can stay on the line and leave a message. If speed matters more than a personal touch, switch to Automated.

What should volunteers say in their voicemail?

Keep it short (under 30 seconds). Include their first name, who they’re calling for, one key message, and how to learn more. Include name attribution, just as you would in a script.
