Best Practices for Volunteer Onboarding

A guide to getting your volunteers onboarded quickly and securely.

Written by Lindsay Farrow

Numinar takes your platform and data security seriously. It's the primary reason we require user verification when onboarding team members to your organization. We also know your team is moving fast. Here's a guide and best practices to get them onboarded quickly.

šŸ’” The short version: make your organization public, share your join link or QR code, make your projects public, and have volunteers create their accounts before the big day. Set up a few backup logins just in case.

1. Use public settings for your organization

When your organization is public, volunteers can join on their own with a link or QR code. No invites needed.

Step 1: Go to Settings

In the left menu, click Settings (1). The Organization tab (2) opens first.

Step 2: Fill out your public information and make your organization public

Scroll down to Public Information:

  1. Add a Contact Email and Contact Phone Number. Both are required for a public organization.

  2. Add a short Description so volunteers know they found the right organization.

  3. Check Make Org Public.

  4. Click Save Changes.

This is what volunteers see when they find your organization in the Numinar app.

Step 3: Share your join link

After you save, the Join Org Link card appears. Click the copy button (1) and share the link by text, email, or social media. The QR code button (2) is right next to it.

When a volunteer opens the link on their phone, it opens the Numinar app or takes them to download it. Once they've signed up and verified their email, they're added to your organization automatically.

Step 4: Download a QR code for flyers and events

Click the QR code button next to your join link. Then click Download QR Code (1) and choose Download As PNG or Download As SVG (2).

Print it on flyers and sign-in sheets, or put it up on a screen at your event so volunteers can scan it with their phone's camera.

šŸ’” Volunteers who join with your link, or by browsing in the app, are added as Supporters. Owners and Admins get an email each time someone joins. You can change anyone's role on the Team page. See Understanding user role permissions.

2. Make your projects public

No assignments needed. Public projects show up for everyone in your organization, including volunteers who just joined with your link. Once they're on Numinar, they can get to work.

Step 1: Go to Projects and click New Project

In the left menu, click Projects (1), then click New Project (2). Projects that are already public show Public in the Assignees column (3).

Step 2: Choose Public

Fill out your project as usual. Under Project Assignment, choose Public (1). Set the Status to Todo or In Progress (2) so volunteers can see it.

āœļø Choose Public when you create the project. You can't switch an existing project between Public and Users/Teams later. Volunteers can't see Draft or Complete projects.

3. Ask volunteers to set up an account in advance

Every volunteer needs to create an account and verify their email before they can join. It only takes a few minutes, but verification emails sometimes land in spam, so have volunteers do this before your event, not at the door.

Here's a quick, step-by-step tutorial to share with your volunteers.

Step 1: Download the app

šŸ“± Download the Numinar app from the Apple App Store or the Google Play Store.

Step 2: Sign up

Open the app and tap Click here to Sign Up. Create your account with your email address and a password, or tap Log in with Google. If you were invited, use the email address your invite was sent to.

Step 3: Tell us about you

Enter your name, address, and phone number, then tap Continue.

Step 4: Verify your email

Check your inbox for an email from Numinar and tap the link inside. Use the buttons to open your email app. Didn't get it? Check your spam folder, or tap Resend.

Step 5: Join your organization

Open the join link or scan the QR code your organization shared, and you'll be added automatically.

If you were invited, your invitation shows up in the app. Tap the check mark to accept it.

Don't have a link or an invite? Tap Browse Organizations, find your organization, and tap Join Organization.

4. Make placeholder users as a backup

Some volunteers will show up without an account, or get stuck on verification. Set up a few backup logins ahead of time so nobody has to wait.

Step 1: Create email addresses on your organization's domain

From your organization's domain, create a few new email addresses. For example, if your emails end in @example.org, create volunteer1@example.org, volunteer2@example.org, and so on. Using your own domain means you can open the verification emails yourself.

Step 2: Invite them on the Team page

In the left menu, click Team (1), then click Add Users (2).

Enter your placeholder email addresses (1), choose a Role like Volunteer (2), and click Invite Users (3). See How to Add Team Members for more.

Step 3: Walk through verification in advance

For each placeholder email, sign up in the Numinar app, fill out Tell us about you, open the verification email in that inbox and tap the link, then accept the invitation. Follow the volunteer steps in section 3 above.

Step 4: Hand out one login per volunteer

When a volunteer needs a login, give them one of your placeholder accounts. Keep a list of who is using each one.

āœļø Only one person per login. If more than one person uses the same login, their work gets mixed together and you may experience technical issues.

šŸ’¬ Frequently Asked Questions

Do volunteers still need to verify their email if they use the join link?

Yes. Every account needs a verified email address. It's how we keep your organization's data secure.

What role do volunteers get when they join with the link?

They're added as Supporters. You can change their role on the Team page.

A volunteer joined but doesn't see any projects.

Only Owners, Admins, and Parent Admins can make an organization public. Ask your organization's Owner, or reach out to us at support@numinar.com.

Can I make my organization private again?

Yes. Uncheck Make Org Public and click Save Changes. Your join link stops working and your organization no longer shows up in Browse Organizations. Volunteers who already joined stay in your organization.
